Yes, ATS can read PDF resumes, as long as the PDF has real text inside it. A PDF exported from Word, Google Docs or a resume builder parses fine in most modern systems. A scanned resume, a phone photo saved as PDF, or a design export with the text flattened into an image does not, because there is no text to read.
The question “PDF or Word?” gets argued online as if one is safe and the other is poison. Honestly, both work. What breaks resumes is how the file was made, not its extension. Here is what actually matters, and how to check your own file before a recruiter’s software does.
Text PDF and scanned PDF look identical and are not
A PDF can hold two very different things. One is text: actual characters, with fonts and positions, that software can select, copy and search. The other is a picture of text: pixels arranged to look like words.
On screen, you cannot tell them apart. To an applicant tracking system, the first is a resume and the second is a blank page with a nice image on it.
You end up with the second kind when you:
- Scan a printed resume or photograph it with your phone
- “Print to PDF” from an image file
- Export from a design tool with a flatten or rasterise option on
- Run a PDF through some compressors that convert pages to images
The test is the same every time. Open the file and try to drag your cursor across your name. If it highlights letter by letter, you have text. If the whole page highlights as one block, or nothing happens, you have a picture.
Word or PDF: which file format to send
| Situation | Send |
|---|---|
| The posting or form names a format | Whatever it names. This overrides everything else |
| Naukri or LinkedIn upload, no instruction | Text-based PDF |
| Company career page (Workday, Greenhouse, Lever and the like), no instruction | Text-based PDF, or .docx if the form hints it prefers Word |
| Emailing a recruiter or a referral directly | PDF, so the layout does not shift on their screen |
| An older government or PSU portal | Read the instructions carefully. Some still list specific formats and size caps |
Naukri accepts both Word and PDF uploads, and its upload screen shows the current size limit, so check it there rather than trusting an old blog post. One practical note: our ATS resume checker reads PDFs only, up to 10MB. If your master copy is in Word, export a PDF to check it. The check tests the same thing either way: whether the text comes out clean.
Canva and design-tool resumes need extra care
Design tools make resumes that look good and often parse badly: a flattened export can turn your text into an image, two-column templates can read out of order, and icons and skill bars are not text. Canva has its own post, is a Canva resume ATS-friendly, with what breaks, a two-minute test and how to fix a design you want to keep. Keep a design resume for handing to humans and upload a plain single-column version, and if you build on a phone, how to make a resume on your phone covers apps that export clean text.
Tables, columns and text boxes parse unreliably
Some parsers handle tables well. Many do not. You do not get to know which one the company runs, so the safe assumption is the worst one.
The common failure: the parser reads straight across the page, left to right, line by line. A two-column layout then becomes a single stream that alternates between your left column and your right column. Your dates detach from your jobs, and your skills land inside your education.
A single column with plain headings (Experience, Education, Skills, Projects) removes the guesswork. It also reads faster for the recruiter, who is skimming a long pile of these before lunch. What columns actually do to the reading order, measured on 21 of our own templates, is in are two-column resumes ATS-friendly.
Headers and footers can vanish
Many resume templates put your name and contact details in the page header, because it looks tidy. Some parsers skip headers and footers entirely. The result is a record with your experience but no name, email or phone, which is about as useful as it sounds.
Move contact details into the body, first lines of page one, as plain text. Page numbers in the footer are fine. Nothing anyone needs to contact you should live there.
Small things that also trip parsers
- Unusual fonts. Some decorative fonts extract as odd symbols. Stick to common ones: Calibri, Arial, Garamond, Helvetica.
- Symbol bullets. Fancy arrows and checkmarks can extract as question marks. Plain round bullets or hyphens are safe.
- A photo. Not needed for most private-sector roles in India, and it adds nothing a parser can use.
- Your file name.
Resume_final_v7.pdfis not a parsing problem, butPriya_Sharma_Data_Analyst.pdfis easier for the human who downloads it.
The two-minute copy-paste test
This is the most useful thing in this post. It shows you roughly what a parser extracts.
- Open your resume PDF.
- Press Ctrl+A (Cmd+A on Mac) to select all, then Ctrl+C to copy.
- Open Notepad, TextEdit in plain-text mode, or any plain editor, and paste.
- Read it top to bottom.
Check for: your name and contact details near the top, each job title followed by its own dates and bullets, skills appearing as words, and no long runs of gibberish. If something is missing or out of order here, it is missing or out of order for the software too.
Then run the PDF through the ATS resume checker. It pulls the text out in your browser, the same first step an ATS takes, and tells you which checks fail. If the score is low and you are not sure why, why your resume is getting rejected maps symptoms to causes, and how to improve your ATS score has the fix order. The ATS score explainer covers what the number is built from.
When the file format is not your problem
Here is the opinion I will spend on this post. Before paying for a Naukri visibility booster like Resume Highlighter, spend ten minutes making sure the file it highlights can be read. Those products change who sees your profile. They do nothing for a resume the parser turned into soup. A free Naukri account plus a clean file covers most of what matters.
Rule of thumb: if your PDF passes the copy-paste test, stop worrying about PDF versus Word. The format is fine. Your time is better spent on the words inside it, which how to make your resume ATS-friendly covers line by line. If you are starting over anyway, the free resume builder exports single-column, text-based PDFs by default.
Do this before your next upload
Open the exact file attached to your Naukri profile, not the one on your desktop you think is the same. Do the copy-paste test on it. Most people who have never done this find at least one surprise, usually a missing phone number or a sidebar that ended up in the wrong place.
